How to Build a Prospect List

A prospect list is only as valuable as its accuracy and relevance. A list of 10,000 contacts that are the wrong persona, wrong company size, or wrong market is less valuable than a list of 500 contacts that perfectly match your ICP with verified contact data and a clear reason to reach out.

Building the right prospect list is a discipline — part strategy, part research, part data quality management. AI tools have made it faster without removing the need for the strategic thinking that makes a list usable.

Step 1: Define Your ICP Precisely

Before touching a data tool, define who you're looking for with enough precision that your list-building criteria are unambiguous.

Firmographic criteria:

Company size (employee count, revenue range)

Industry and sub-industry

Geography

Growth stage (startup, scale-up, enterprise, public)

Funding status (VC-backed, bootstrapped, PE-owned)

Technology stack (specific tools they use)

Persona criteria:

Job titles (specific titles that map to your buyer, not just "VP Sales")

Seniority level (Director, VP, C-suite)

Department

Tenure (time in role — new hires are often high-intent buyers)

Negative criteria (equally important):

Companies below minimum viable size.

Industries with specific exclusions (government, non-profit, if not your market).

Companies already using a direct competitor (unless you're running competitive replacement motion).

Companies in countries outside your current go-to-market.

Write these criteria down before opening any data tool. The precision of your ICP definition directly determines the quality of your list.

Step 2: Choose Your Data Sources

For European markets (UK, DACH, Nordics):

Cognism is the strongest choice for GDPR-compliant contact data with verified mobile numbers. Apollo is a lower-cost alternative with reasonable coverage. ZoomInfo has improved European coverage but remains secondary to Cognism for UK and DACH direct dials.

For US markets:

ZoomInfo and Apollo are the primary sources. ZoomInfo for higher-accuracy direct dial and deeper org chart data; Apollo for cost-efficiency and bundled sequencing.

Linkedin Sales Navigator:

The most reliable source for verifying current role and company data, identifying mutual connections, and finding contacts that database tools miss. Best used alongside a data enrichment tool rather than as a standalone source.

Company websites and tools:

For specific target accounts (ABM-style), direct research on company websites, leadership pages, and LinkedIn company profiles provides the highest-accuracy data — at the cost of manual effort.

Step 3: Build and Filter in Your Data Tool

Using your data tool of choice (Apollo, Cognism, ZoomInfo, or Sales Navigator):

Apply firmographic filters first — company size, industry, geography, technology stack. This narrows the universe before you add persona filters. Apply persona filters — job titles, seniority, department. Be specific: "Director of Revenue Operations" and "Head of RevOps" are more precise than "Sales" as a department filter. Apply tenure filter where available — contacts in role for 6–18 months are often more active buyers than those who have been in role 5+ years. New hires (under 6 months) are sometimes in evaluation mode but often too new to make decisions. Apply technology filter — if your product integrates with or replaces specific tools, filter for companies using those tools. This doubles as a buying signal. Review sample quality before bulk export — review 20–30 records manually before exporting thousands. Does the data match your ICP? Are the job titles accurate? Are the company sizes in the right range?

Step 4: Validate and Enrich

Raw database exports always contain errors. Contact validation before loading to CRM or sequencing tool prevents bounced emails, wasted sequences, and sender reputation damage.

Email validation:

Tools like NeverBounce, ZeroBounce, or built-in validation in Apollo verify email deliverability before sending. Remove all invalid and catch-all emails from the list before sequencing.

LinkedIn verification:

For high-value accounts, verify current role and company on LinkedIn. Database data can be 6–12 months stale. A prospect who changed companies three months ago is not the right contact at the company you're targeting.

Enrichment:

Enrich with additional context where available: company news (funding, expansion, leadership change), personal trigger (new hire into role, recent promotion), or technology change. This context becomes the raw material for personalised outreach.

Step 5: Segment for Prioritisation

Not all prospects on your list deserve the same level of attention. Segment into priority tiers:

Tier 1 — High priority:

Perfect ICP fit, verified contact data, recent trigger (funding, leadership change, or intent signal), in a market you're actively pursuing. These prospects get personalised, research-heavy outreach.

Tier 2 — Medium priority:

Good ICP fit, verified contact data, no specific trigger. These prospects go into structured sequences with moderate personalisation.

Tier 3 — Lower priority:

Marginal ICP fit, or data confidence is lower. These prospects get tested with lighter-touch outreach and are deprioritised if they don't engage.

GDPR Considerations for List Building

For EU and UK markets, every prospect list needs to be GDPR-compliant:

Lawful basis documented — legitimate interest for B2B outreach requires documentation. Sourced from compliant providers — your data provider must have a lawful basis for holding the data they supply. Unsubscribe mechanism in place — every outreach sequence must include an easy opt-out, and opt-out requests must be honoured immediately. DNC register suppression — Cognism applies this automatically; other tools may require manual suppression.

Building a prospect list that's both high quality and GDPR-compliant isn't slower — it just requires choosing the right data provider and documenting your process.
