How Brazn Works with Apollo

Apollo and Brazn are complementary tools that together cover the full revenue cycle — from identifying the right prospects through to qualifying, closing, and understanding every deal. Neither duplicates the other. Both are significantly more valuable in combination than alone.

This article explains exactly how the two tools work together in a SaaS sales motion — the data flows, the handoffs, and the specific value each tool delivers at each stage.

The Division of Labour

Apollo owns the top of the funnel:

- Contact and company data for target accounts.

- ICP-matched prospect list building.

- Email sequencing and outbound cadences.

- Meeting booking and initial qualification signals.

Brazn owns the middle and bottom of the funnel:

- Deal qualification tracking (MEDDPICC) from first opportunity.

- Stakeholder intelligence and buying committee mapping.

- Pre-call briefs and account intelligence.

- Call recording, transcription, and qualification-aware analysis.

- CRM auto-enrichment from call content.

- Rep coaching from call patterns.

- Deal risk detection and forecast intelligence.

The boundary between the two tools is the CRM opportunity. When Apollo activity (a sequence reply, a meeting booked) converts into a CRM opportunity, Brazn takes over.

The Integration: How Data Flows

Step 1: Apollo identifies and sequences

SDRs use Apollo to build prospect lists from the contact database, filter by ICP criteria, and enrol prospects into automated email sequences. Replies, opens, and clicks are tracked in Apollo.

Step 2: Apollo books the meeting, CRM opportunity created

When a prospect replies positively and a meeting is booked, a CRM opportunity is created — either manually by the SDR or automatically via Apollo's CRM integration. This is the handoff point.

Step 3: Brazn activates on the new opportunity

As soon as a CRM opportunity exists, Brazn begins tracking it. It reads the Apollo-generated activity history from CRM — the sequence used, the reply content, the prospect's initial response — and begins building a deal context record.

Step 4: Pre-call brief before the first AE meeting

Before the AE's first discovery call, Brazn generates a pre-call brief covering: company context and firmographics, what was said in the Apollo outreach and reply, MEDDPICC gaps to address in discovery (all gaps at this stage), stakeholder profile for the prospect, and recommended discovery questions.

Step 5: Call captured and analysed

The Discovery Call is recorded and transcribed by Brazn. The AI analyses the transcript against MEDDPICC criteria — extracting evidence for each element and flagging what's been uncovered and what remains unknown.

Step 6: CRM auto-populated

Qualification data from the call is written to CRM fields automatically: pain quantified, metrics discussed, champion behaviour noted, budget language detected, next steps logged. The AE's CRM record reflects the current qualification state without manual note-writing.

Step 7: Deal progresses with continuous intelligence

After every subsequent call, Brazn updates the qualification picture, refreshes the deal score, monitors for risk signals, and prepares a new pre-call brief. Apollo's engagement data (email opens, clicks, replies) supplements Brazn's call intelligence to give a complete interaction picture.

The Specific Problems This Combination Solves

Problem: SDR-to-AE handoff quality

Without intelligence at the handoff, AEs receive opportunities with minimal context — a company name, a contact, and a sequence reply. With Brazn activated from the moment the opportunity is created, the AE receives a fully researched account brief before their first call, including what the prospect said they were interested in and the discovery questions most likely to advance qualification.

Problem: Qualification discipline after first call

After a first discovery call, many reps update CRM with general notes and advance the deal based on positive sentiment. Brazn's qualification-aware transcript analysis identifies which MEDDPICC elements were established in the first call and which weren't — preventing premature stage advancement on deals that feel warm but aren't properly qualified.

Problem: Apollo pipeline quality invisible to managers

Apollo generates pipeline. Brazn tells you how much of that pipeline is real. Without Brazn, a manager sees deals in CRM at various stages with no objective qualification picture. With Brazn, every deal created by Apollo activity has a live MEDDPICC completeness score that managers can review in the weekly pipeline inspection.

Problem: Rep behaviour patterns across Apollo-sourced deals

Brazn's coaching analytics identify whether reps are asking the right questions in first discovery calls on Apollo-sourced opportunities — which MEDDPICC elements they're consistently skipping, which objections they're not handling well, and which deal types they're over-advancing prematurely.
